Job Description

Job Overview:
The Office Administrator is responsible for overseeing and managing the day-to-day operations of the office. This includes supporting the administrative team, maintaining office supplies, assisting with scheduling, and ensuring the office runs efficiently. The role requires a highly organized and detail-oriented individual with strong communication skills.

Key Responsibilities:

  1. Office Management:

    • Maintain office supplies and equipment.
    • Ensure office is clean, organized, and welcoming.
    • Handle office maintenance and liaise with external vendors.
  2. Administrative Support:

    • Provide general administrative support to teams.
    • Answer phone calls, respond to emails, and manage correspondence.
    • Organize and maintain filing systems (both digital and paper).
  3. Scheduling & Coordination:

    • Manage meeting room schedules and assist with meeting preparation.
    • Organize appointments, travel arrangements, and itineraries for staff.
  4. Document & Report Handling:

    • Prepare, proofread, and format documents and reports.
    • Maintain and update databases and records.
  5. Human Resources Support:

    • Assist with onboarding new employees.
    • Maintain employee attendance records and assist in HR-related tasks.
  6. Finance & Billing Support:

    • Assist in processing invoices and expense reports.
    • Monitor office-related budgets and assist in cost management.
  7. Customer Service:

    • Greet clients, vendors, and visitors.
    • Assist with inquiries and provide information as needed.

Required Skills & Qualifications:

  • Proven experience as an office administrator or in another relevant administrative role.
  • Strong organizational and multitasking skills.
  • Excellent communication skills (written and verbal).
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Knowledge of office management systems and procedures.
  • Ability to handle sensitive and confidential information with integrity.
  • Security Cleared
